Amendments & Extensions

Along with the improvements to the on-line grant application system, a new process for requesting and submitting requests for amendments and extensions has been implemented.

The on-line system is accessed with the same web address used to create/edit a grant application, http://apps.commerce.idaho.gov/apps/ITCGrant/. Use the appropriate username and password to ensure authorization verification.

When you log on, the original screen will appear. Select the organization and appropriate grant year, A new column titled "Amend" appears at the right. BE SURE TO CHOOSE THE CORRECT GRANT YEAR YOU WANT TO AMEND OR EXTEND. Amendment/extension information can be entered directly, or cut and pasted from a WORD document.

Please note: The electronic submission with the username and password is accepted as declaration of a contractual change to your grant contract as signed by the Chief Official and Grant Manager. The Chief Official is the only authorized person to make any contractual changes to the grant.

When the end user submits an amendment, the user will receive an e-mail notice verifying the amendment request has been submitted.

If the amendment is approved by staff, the end user will receive a notice that it has been approved and everything is complete. In the event the amendment needs Idaho Travel Council approval it will be submitted to the ITC and the end user will receive notification it has been presented to the ITC for consideration. Once an amendment receives four “deny” votes, the amendment is rejected and the end user will receive notification.  If an amendment received 5 “approve” votes, the Grant Analyst receives a notice that the amendment is awaiting Final Approval, upon which time the Grant Analyst will access the amendment and click the “Final Approval” button.

Once the Final Approval is signed by the Grant Analyst and the Tourism Division Administrator, the end user is notified the amendment has been approved. A signed copy will be retained the grantee file at the Dept. of Commerce, Tourism Division.

** If the grantee chooses to delete an amendment request that has been submitted, the end-user will not receive any sort of notification.At this point, there is not a way to print a "signed" copy of the amendment form from within the on-line form, so to print a copy for your records, use your web browser's print function.
